At Unitic Creative Studio, transparency and trust are at the heart of how we work. This Policy and Terms document is designed to help our clients understand our processes, responsibilities, and mutual expectations. It ensures that every booking, session, and delivery runs smoothly protecting both our clients and our team. By outlining clear guidelines for payments, cancellations, image usage, and communication, we aim to provide a professional, fair, and seamless photography experience from start to finish.

Booking & Confirmation

  • All bookings must be made in advance through our official website, email, or contact channels.
  • A 50% non-refundable deposit is required to secure your booking date.
  • The remaining balance is due on or before the day of the shoot.
  • Bookings are confirmed only once proof of payment has been received.
  • Payments can be made via EFT, card, or approved payment link.

Consultation & Planning

  • Each client receives a brief consultation (online, phone, or in-person) to discuss shoot goals, location, and style preferences.
  • Clients are encouraged to share mood boards, outfit choices, or brand guidelines for better creative alignment.
  • For business or product photography, clients should prepare all products, props, and brand materials before the scheduled session.

3. Session Guidelines

  • Please arrive on time. Late arrivals beyond 15 minutes may reduce shoot duration.
  • Additional shooting time requested on the day will incur extra hourly fees.
  • Clients must communicate special requirements, themes, or props ahead of time.
  • We maintain a safe, respectful, and professional environment at all times.
  • Clients must inform us of any location access restrictions, required permits, or special arrangements in advance.
  • The photographer retains the right to stop or reschedule a session if conditions (weather, safety, lighting, or behavior) make it impractical to continue.
  • Additional shooting time requested on the day of the session may incur an hourly charge, depending on package terms.

4. Cancellation & Rescheduling

Cancellations must be made within 7 working days or reschedule at least 48 hours before the scheduled session.

Refunds:

  • Cancellations made within 48 hours: Eligible for a full refund or free reschedule.
  • Cancellations made after 48 hours: Subject to a 30% cancellation fee.
  • Cancellations made after 7 working days: No refund will be issued; however, clients may reschedule the session once at no additional cost.
  • Rescheduling is allowed once, provided notice is given at least 48 hours in advance.
  • If Unitic Creative Studio cancels a session due to, emergencies, or technical issues, the client will receive a full refund or the option to reschedule at a convenient time.

Delivery & Editing

Only professionally edited images/videos will be delivered. Raw/unprocessed files are not shared unless previously agreed upon.

  • Standard delivery timeframe: 7โ€“30 working days (depending on package).
  • All photos/videos undergo professional editing for color, lighting, and tone correction.
  • Photos are delivered digitally via secure download or online gallery.
  • Raw or unedited images/videos are not provided unless agreed in writing.

Copyright & Usage Rights

All images remain the intellectual property of Unitic Creative Studio, unless otherwise stated in writing.

  • All photographs remain the intellectual property of Unitic Creative Studio.
  • Clients are granted usage rights depending on the session type:
  • Personal Use: Printing, framing, and personal sharing.
  • Business/Commercial Use: Marketing, social media, advertising, and websites.
  • Images may not be altered, sold, or redistributed without permission.
  • Unitic Creative Studio may use selected images for portfolio, marketing, or promotional materials, unless the client opts out in writing.

Client Responsibility

  • Clients are responsible for their own safety and belongings during sessions.
  • Parents/guardians must accompany minors at all times.
  • Clients must secure location permissions or permits where required.
  • Please ensure you have rights to photograph any products, designs, or individuals presented.

Confidentiality

  • All personal and business information shared with Unitic Creative Studio will be treated as confidential.
  • Images taken will not be used beyond agreed purposes without client consent.
  • Client data (names, contact details, photos) is stored securely and never sold to third parties

Liability

  • Unitic Creative Studio is not responsible for injuries, damages, or property loss during a session.
  • In rare cases of equipment failure or data loss, liability is limited to a refund or complimentary reshoot at the studioโ€™s discretion.
  • We are not liable for delays caused by weather, traffic, or unforeseen circumstances.

Communication & Feedback

  • All communication should be done via our official email, phone, or WhatsApp.
  • Feedback and testimonials are welcome and help us improve our service quality.

Agreement

By booking a session with Unitic Creative Studio, you acknowledge that you have read, understood, and agreed to these terms and conditions.
